Specimen Tracking Agent
Tracks specimen collection, transport, and accessioning to reduce lost samples and turnaround delays.
Ask about this agentThe work it takes off your plate
Lost, delayed, or improperly handled specimens cause recollections, delayed diagnoses, and patient harm. Collection timestamps, courier handoffs, temperature logs, and accessioning events are often fragmented across nursing, transport, and lab systems. When a specimen is missing, investigation is manual and slow. The Specimen Tracking Agent tracks collection, transport, and accessioning end-to-end to reduce lost samples and turnaround delays.
How it works
The agent follows each specimen from order to collection, transport, receipt, and accessioning. It monitors SLA timers, temperature and chain-of-custody events, alerts on at-risk or missing specimens, and provides operational dashboards for lab and nursing leaders.
- 1Register Collection EventsEvery specimen starts with a verified digital chain-of-custody record.
- 2Track Transport and Hand-offsIn-transit specimens are visible and exceptions are raised early.
- 3Confirm Accessioning and IntegritySpecimens are accessioned accurately or rejected with clear reasons.
- 4Recover Exceptions and Report PerformanceExceptions are resolved quickly and operational quality improves over time.
Step 1: Register Collection Events
- Link specimen labels to orders and patient identity at collection
- Capture collector, time, site, and container type
- Validate label-patient match and required draw conditions
Result: Every specimen starts with a verified digital chain-of-custody record.
Step 2: Track Transport and Hand-offs
- Monitor pneumatic tube, courier, and runner scan events
- Track temperature-sensitive and timed specimens (e.g., lactate, ABG)
- Detect stalled specimens exceeding transit SLAs
Result: In-transit specimens are visible and exceptions are raised early.
Step 3: Confirm Accessioning and Integrity
- Match receipt and accession scans in the LIS
- Flag hemolysis risk, unlabeled, mislabeled, or quantity-not-sufficient issues
- Update expected turnaround clocks by test priority
Result: Specimens are accessioned accurately or rejected with clear reasons.
Step 4: Recover Exceptions and Report Performance
- Alert nursing and lab on missing or delayed specimens
- Coordinate recollection when required
- Publish lost-specimen, rejection, and TAT performance metrics
Result: Exceptions are resolved quickly and operational quality improves over time.
Why use it
- Fewer Lost Specimens. End-to-end visibility prevents silent drop-offs.
- Faster Turnaround. Identifies bottlenecks in collection and transport.
- Patient Experience. Reduces painful and costly recollections.
- Chain of Custody. Strengthens compliance for critical and forensic specimens.
- Operational Analytics. Gives lab leaders real-time TAT and exception insight.
